Celebration for hitting Century: A Toast to Rajasthan Toastmasters Club

Embarking on a Triumphal Journey:

As the sun rose on January 21, 2024, the Rajasthan Toastmasters Club embarked on a journey of celebration and reflection. With hearts full of gratitude and spirits soaring high, members and guests gathered at Tea Post, Malviya Nagar, Jaipur, to commemorate the club’s 100th grand celebration.

A Legacy of Excellence:

From its humble beginnings as the Titans Toastmasters Club to its present-day incarnation as the Rajasthan Toastmasters Club, this vibrant community has been a flashlight of growth and empowerment. The club was chartered on December 27, 2018, and has been nurturing countless individuals, helping them overcome fears and embrace their full potential.

A Vibrant Gala:

The 100th grand celebration was a jubilant affair, brimming with laughter, friendship, and a sense of shared achievement. With a theme inspired by the popular series “Squid Game,” the event captivated attendees with engaging activities, heartfelt speeches, and unforgettable performances.

Honoring Milestones, Embracing Moments:

As members shared reflections on their Toastmasters journey, it became evident that the true essence of the club lies not in the milestones it has achieved, but in the moments of growth and companionship shared along the way. Each speech, each role, and each interaction has contributed to the rich tapestry of experiences that define the Rajasthan Toastmasters Club, Area C3, Division C, District 98.

A Community of Champions:

We are blessed with the Presence of DTM Sangeet Rajoria and DTM Naveen Parwal. Also, our Area C3 Director Pragya Maheshwari proactively guides our members to strive for excellence in their roles.

The celebration welcomed esteemed guests from JTC, PCTC, SKIT, and Jecrc Toastmasters Clubs, highlighting the spirit of collaboration and companionship that defines the Toastmasters community. Together, we celebrated not only the club’s achievements but also the collective triumphs of every member who has walked through our doors.

Gratitude and Beyond:

As the celebration drew to a close, amidst the laughter and applause, one sentiment echoed loud and clear: gratitude. Gratitude for the journey, gratitude for the friendships forged, and gratitude for the endless possibilities that lie ahead. Using Notion for Club Management

Effective communication is crucial in any management setting, particularly in ensuring clarity and efficiency. All organizations, workplaces, or clubs consist of people trying to work toward a common goal that would contribute to their success.

Similarly, as a college club, we wanted to streamline communication across the executive committee without loss of structure or efficiency. Hence, we tried to incorporate the use of a famous tool called Notion, which is a versatile all-in-one productivity tool that combines notetaking, project management, and collaboration features in a single platform. BITS Pilani Toastmasters Club has always tried to adopt novel ideas for the growth of the club. Streamlining and structuring the management communication has helped us ensure that we can spend our creative energy towards improving other aspects of the club. Also, since BITS Pilani Toastmasters Club is a college club, it has different requirements as compared to a community club.

As a college club, there is always a gray area between informality and formality in terms of management. Hence, platforms such as Notion help bring structure to the management of individuals as well as tasks without disturbing the dynamic ecosystem of the club. Notion allows users to create dynamic documents, databases, and Kanban boards, fostering seamless teamwork and organization. With its user-friendly interface and customizable layouts, Notion has gained popularity for personal and professional use, offering a centralized hub for managing tasks, documents, and collaborative projects.

We use Notion in the following ways:

There is a common workspace for all the ex-comm members, where everyone can make edits and additions. This allows club officers to manage their tasks such as poster making,
agenda preparation, etc., effectively.

The workspace consists of a Task Management database, which has all the information about the tasks we need to complete.

 

Each task entails information about the following parameters:

Name: Links to the page containing information about the task needed to be completed
Person: People who are assigned the task
Date: Deadline of completing the task
Status: Whether the task is completed or not
Priority: The level of priority for the task

This database helps streamline the management of the day-to-day responsibilities of the executive committee. It also sets up accountability for each of the members to complete their tasks without the need for continuous updates from each of them. Also, there is the “Ideas” page, which records all the good ideas that can be implemented for the club. Every member can just type out their idea in the Quick Write first, which can later be moved to the Ideas Page whenever there is time. Due to this ideas tab, we were to set up a club meeting calendar, which allows the members to book their slots (through the VPE of course) for important roles like the TMOD, TTM, etc. so that they get time to prepare for their roles and make the meets even more engaging and fun. Finally, there is a “Resources” page that helps store all the necessary resources for each of the members (for example, VPE has the Google form link for the meeting roles, the VPPR has the template for the meeting posters for social media, etc.). This is not compulsory but serves as a great tool to keep everything in one place. Adjusting to Notion requires a bit of initial effort, but once you hop on the productivity express, there’s no turning back!

It was a star-studded evening!! All hustle a bustle around the stage, some were busy arranging Light lamps for the opening ceremony and others were busy adjusting the awards that were to be given to the talented members of the club. It was a night that was going to be remembered and cherished by one and all, for many years to come.

It was SpeaDoyRators Anniversary Meet!! On 6th January 2024, three clubs of Areas J2 and J4 of District98, collaborated to celebrate their club anniversary together.

RG Speakers (7th Anniversary)+ RG Doyens (5th Anniversary)+ RG Orators (5th Anniversary). Teams were formed to look after different work areas like the Awards chair, PR Chair, Entertainment Chair, and Logistics Chair and to lead them all were the Convenors under the able guidance of all 3 Club Presidents.

 

Celebrating such a grand event in Hybrid mode, at the serene Outdoor Venue of RG Greens Township in Jamnagar, was an achievement in itself.

Opening Address from our Online Guest of Honour, District 98 Director TM Hardik Shah was a delight. He applauded “all the 3 Clubs for being the Gems Of D98”.

Special wishes from our Division J Director DTM Khushal Lalwani, were so encouraging! The presence of Club Growth Director DTM Joydeep Bhowmik was much appreciated!

The Appreciative address from both Area Directors – TM Saishri Sastri and TM Himanshu Sinha was a huge motivation to all.

 

 

All the 3 Club Presidents proudly addressed the gathering and applauded every member as well as the Leader of the club.. both past and current .. for making the respective clubs reach great heights. The Presidents gave out the respective Club Awards to glorious achievers in the presence of our Special Guests of Honour from Reliance Industries Ltd., Shri SS Saini, Shri Samir Patel, Shri Jeyaval Sinha, Shri Pahwa.

Different events were lined up to make the event Grand. Our Masters of Ceremony TM Tarun Sharma and TM Riddhi Shah owned the stage gracefully and the event started with a brilliant Ganesh Vandana, beautifully choreographed by Orators, Adorning bright sarees and sweet smiles on faces, it was an absolute delight to watch.

It was followed by a Solo rendition by TM Saishri Sastri on an upbeat folk song. It was so energizing and peppy even without any music that it just caught everyone’s attention!🌟✨💪🏻An energetic solo dance by an Enthusiastic Toastmaster Rahul Verma added more fun to the event.

A hip-hop Bollywood-style Dance performance on a medley of songs by our fireball Toastmasters was amazing! Followed by a group performance on Karaoke Melodies soothed everyone’s heart.

 

The unique Interactive- “Open Mic Antakshari” by TM Brindha and TM Sangita gave everyone a feeling of inclusion and invited them to participate wholeheartedly!

Even kids watched the video and said to their mommies .. “mamma.. Your orators are awesome..” 🐥🐥As the event proceeded, It got dark but it wasn’t dark enough to stop the stars from shining bright. Every performance was an excellence in itself✨Setting the stage on fire🔥🔥

Amidst a gathering of 100+ guests and members, families and kids, old and new members, it was indeed a grand celebration of the Milestone Anniversary for Each of the 3 Clubs. Hundreds of clicks in every phone created memories to be cherished for a long long time.

 

 

Hip Hip Hurray !!

Followed by scrumptious food, the event concluded with bright smiles and high hopes.

“Being proud of who you have become doesn’t mean you are perfect, it means you are aware of your growth and potential!”

With this thought in our hearts and minds, the event concluded but the spirit to celebrate, learn, and grow continues!

Hello, District 98 Toastmasters, 

Some of you may have heard me speak at the recent Power Up sessions, where I spoke about my fear of traveling, and yet I embark on a journey every other month. A few weeks back, as part of the District Leadership Mid-Year Training, (very similar to the training that club officers go through every 6 months), we had to visit Bangkok. So, I arrived in Thailand a few days early and headed straight to Chiang Mai (a city in the north of Thailand). It isn’t a very popular destination for Indian tourists and when on solo trips like these, I do not go with a planned itinerary.

Food, of course, was a challenge for a vegetarian, but that turned out to be the least of my concerns on that trip. On the second day of the trip, I was almost 50 km away from my hotel on a rented motorbike when my phone decided to malfunction. I do not speak the local language, and cannot read the sign boards and I was halfway through to the destination I wanted to be (the highest point of Thailand – Doi Inthanon). Instead of turning around, I memorized the directions to reach the top. But I had another obstacle on my way; around 20kms away from the point, I was out of petrol and I contemplated the option of returning back to base when a kind local guide helped me with a self-service station a few meters away. And so the journey to the top continued and with less than 2% phone battery I could manage just a few snaps.

How I traveled back to the base 100 km away and survived the next 3 days without a phone – navigating cities, hotel changes, flights, etc is possibly the right material for my next ISC speech (unfortunately cannot compete this year). The point is I had to adopt the unknown route to my destination, adapt to the challenges thrown across to me, and at the end achieve my goal of viewing Thailand from its highest mountain.

When I got elected as the District Director in May last year, I had a vision – #BeyondTheDashboard where not everything we do directly contributes as a DCP point because for us members are not just numbers on the dashboard. Very soon at the start of the term we realised, that with more than 70% of members being less than 18-month-old Toastmasters we had to do a lot more to get the energy levels up and going for everyone. Keeping this in mind District 98 launched several initiatives to build an entire ecosystem be it Podcasts, Blogs, #Dynamo D98er to encourage contribution in various aspects of public speaking and topped it with a touch of rewards and recognition.

Just like members’ desire to complete levels/ paths; clubs wish to be Distinguished and above, District 98 this year is aspiring to reach the Smedley Distinguished District recognition [the highest recognition a District can achieve in any program year]. With all these initiatives, we are also trying to become one the best performing districts in the world and all this will not be possible without your support. Today, we are ranked 6th in the world in terms of membership payments.

During the course we have modified the initiatives; upgraded a few and discontinued some adapting to the changing needs of the members. In December, we launched the New Year New Me initiative with an urge to each member to continue their upskilling journey and added the Dynamo Club recognition. We also announced the pre-launch of Eloquence 2024 helping you plan the calendar. When we were planning these initiatives, we manifested some goals for ourselves, executed our efforts in that direction, believed in our prayers and voila – we met our goals.

When we closed on 31st January, we had a record 668 members who signed up for the New Year New Me Program, 13 clubs having achieved the Dynamo Club award and 203 members had signed up to attend Eloquence 2024. You, District 98 Member, yes you, made this possible. Thank You.

In the last few months, you all have been more than supportive by showing up in huge numbers at District events be it Area Conference, Division Conference or Power Up and all District initiatives in general. I don’t call them New Year resolutions, I prefer the term casual promises to myself that I am under no legal obligation to fulfill.

Dear District 98 Toastmasters, 

Wishing you a very Happy New Year !!!

There are moments when you want the time to stay still because life is good and you want nothing more. 2023 started on a high note but by the time it reached midway, it was a year that I have come to dislike, there are many days in which I wish I could erase and change the trajectory. But that’s what life is – you move on. As I look back at 2023, with this capture from 2022, hoping 2024 will have a different story to tell.

I am hopeful and optimistic that 2024 will present me with opportunities to scale ahead on all fronts be it personal, professional, or Toastmasters. All I know is that I’m going to be back with more adventures and stories to tell.

It’s been a few days to this year and some of us simply carried forward the incomplete resolution from last year which we have high intent but limited discipline to accomplish. And I am no different, so here is how I have decided to approach this year differently:

  • Instead of resolution, make a round-the-year bucket list and work towards it. Do not wait for 1st day of the month or Monday to kickstart – it starts the day it gets added to the bucket list
  • Put it out on social media to make myself accountable. Sometimes we are more accountable to the people around us rather than ourselves. Don’t we take ourselves for granted?

 

I hope this will take me a step closer to my fitness journey this year. Optimistic. And happy to be held accountable by all of you. Find your accountability partner this year.

I recently came across a very interesting reel by Anupam Kher – the relationship between December and January, like old memories and new promises, both have depth and indicate time and both have their flaws – both have the same number of days but yet both have a unique identity and style. One marks the end of a year, while the other marks a new start – just like day after night. One has memories of the past while other has hope for the future. Both are connected as two ends of a thread – poles apart yet joined.

What December leaves behind is accepted by January; the promises we make to ourselves in January are supposed to be fulfilled by the time December sets in. January to December takes a whole 11 months while December to January is a matter of a blink of the eye. All months of the year are bound between January and December and are all about dreams, hopes, and aspirations while the separation of December and January is a worldwide celebration.

If 2023 was about obstacles, can we take 2024 as an opportunity?

As a District, we have had our set of challenges but the team has learned to come together stronger. I have had a chance to speak to many of you in the past few months be it at TLTP, area/ division conference or part of my #D98Tour, and have nothing but gratitude for the love and affection all clubs and members have towards the District Officers. I am optimistic that as we enter to the last six months of the program year, we’ll achieve the vision that we have set for ourselves for this year and so will all of you. If there is anything I can do to bring you closer to your goals, I am happy to do so.

Some of us succeeded in reaching a new milestone,

Many of us failed and stood up again,

Many of us are exploring new career options,

And several of us are still surviving on our monthly paycheck.

Some of our old friends were lost,

Many new folks became our friends,

And several of us are still stuck with those old buddies.

Some of us broke up,

Many of us got hitched for life,

And several of us are just happy with the new crush in the neighborhood.

Some of us know what we want this 2024,

Many of us have an idea of what we definitely don’t want,

And several of us are still figuring out the purpose of our lives.

Leadership Team Nominations

Succession planning is the process of identifying the critical positions within your organization and developing action plans for individuals to assume those positions.

DLC Committee

Immediate Past District Director Sapna Ohri, DTM has been appointed as the District Leadership Committee Chair by 1st Nov 23 and the committee members have been appointed by 1st Dec 23.

Nominations

Nominations are now open for the following positions for the 2024-25 Toastmasters Year: 

  • District Director
  • Program Quality Director
  • Club Growth Director
  • Division Director for Divisions (A, B, C, D, J, M, S and U)

Guidelines

Each nominated candidate for all positions must be a member of a club that is within the boundaries of the district they wish to serve. Please ensure you have referred to the eligibility criteria [Article VII] before submitting your nominations

The geographies of all 8 Divisions will remain the same as they are for the nominations unless the District Alignment Committee suggests any changes during the Council Meeting scheduled between 24 and 26 May 2024.

In our District, the District Director appoints the District Administration Manager, District Finance Manager, District Public relations manager and Area Directors. Hence the nominations for those positions are not sought at this point.  

Nominations will close on January 10, 2024, 11:59 PM IST. You may ask a fellow Toastmaster to nominate you, or you may also self-nominate.  

Applicants are requested to go through the documents linked in this email before applying for the positions above. These documents would contain the eligibility criteria for each of the roles and will also help you understand the competencies required for the respective posts.

Kindly note that this process needs confidentiality. Do not mark any current or past District Officer, or any member in the district, either in Cc/Bcc. The exception is when a member is nominating another member.  

The District Leadership Committee will schedule interviews on Zoom. You will be contacted to set up a mutually agreeable date and time by the District Leadership Committee.

Code of Conduct

Please note that the District Elections Code of Conduct has been put in place from December 11, 2023, as per Protocol 9.0 . This protocol would restrict activities on District Handles and during District Events for all the candidates who wish to apply for any of the above roles. The protocols are effective 11 December irrespective of when the nomination form is submitted.

Please additionally note the following:

  • The protocols do not prohibit any officer or member from accomplishing their assigned tasks till the end of the program year.
  • The protocols do not prohibit any member from taking up additional responsibilities unless explicitly mentioned otherwise. For instance, candidates cannot serve as contest officials.
  • Candidates should refrain from using current positions or future appointments to gain extra visibility or promote their candidature
  • The following instances can be considered a violation
    • Increase in comments on the official social media handles of D98 (including WhatsApp groups)
    • Increase in taking up roles/ educational sessions outside the home club
    • The intent of any communication will set precedence while dealing with the Code of Conduct

At this point, there will be no additional restrictions outside of what is outlined in Protocol 9.0 i.e you can visit clubs and attend events but ensure you do so as an officer (if required) or member and not as a candidate. Please inform my office at least 7 days before attending any such meeting/ event. In case you have campaign members, please notify the District Director’s office in advance. The District, to the best of its abilities, will provide all candidates an equal opportunity to interact with members at specified District events – details of which shall be notified at a later date.

A campaign communication is any message, in any form, such as phone calls, postal mail, email, and social media, unsolicited by the recipient that promotes or publicizes a candidate. This would also include in-person interaction at club meetings/ club or District events.

Additional Information

Any member who wishes to stand from the floor for any of the roles mentioned above should have gone through the nomination and evaluation (DLC Team interview) process.

Only those who apply as per the instructions outlined in this email before the deadline will be interviewed, and no further nominations or interviews will take place for the 2024-25 District leadership position elections.

Those who have not gone through this nomination and evaluation process cannot stand from the floor during the elections (unless permitted as per governing documents).

Elevating Excellence: Transforming Club Climate

In the fraternity of Toastmasters clubs, the role of the Vice President of Education (VPE)  emerges as a catalyst for growth and learning. As the orchestrator of educational initiatives, the VPE holds a pivotal position, shaping the club’s dynamics and nurturing an atmosphere that propels members toward excellence.

At the heart of every thriving club lies a supportive culture. The VPE bears the mantle of responsibility in laying this crucial foundation, overseeing the progress of each member while nurturing an environment where everyone can thrive. They are not just the navigator but the visionary, setting goals that pave the way for individual and collective club improvement.

Yet, this journey isn’t a solo expedition. It’s a collective endeavor where Club Officers and Members play integral roles. The synergy between the President and the VPE in strategic planning serves as the cornerstone of the club’s growth, propelling it forward on the path toward excellence.

Innovative and not-the-norm initiatives spearheaded by the VPE  breathe life into learning experiences, infusing diversity into the methods and driving member engagement. Through unique meeting formats and activities, they ignite enthusiasm and participation, marking the club’s culture with vibrancy and dynamism.

However, the path to excellence demands a commitment to rigorous analysis and evaluation. The VPE’s emphasis on data-driven insights fuels a culture of continuous improvement, constantly refining strategies to ensure optimal outcomes and sustained growth.

As a VPE deeply invested in data analysis within the GSC Toastmasters Club, I’ve leveraged insights from multiple data points to drive our remarkable growth and achievement. Through this analytical approach, we successfully attained 9 Distinguished Club Program (DCP) Goals within a swift 4 months. This utilization of data-driven strategies has not only propelled our club’s success but has also extended its impact beyond our club boundaries as members engage beyond the club in other club meetings, and conferences, and serve in roles with District Leadership. 

Collaborating with VPEs of other stellar clubs isn’t just an innovative joint meeting idea, it’s a fuel for future growth. By sharing best practices and lessons learned from these stellar clubs we ignite a collective realization within our club: excellence is not a destination, but a continuous climb. This spark of inspiration reminds the club members that while we’ve accomplished much, the summit still lies ahead, beckoning us with even greater possibilities. Through this collaborative exchange, we push beyond self-congratulation and embrace the thrilling ascent of the continuous learning journey, together.

In conclusion, the proactive VPE, supported by collaborative club officers and enthusiastic club members, fuels the flames of excellence within the minds of each club member.  Sharing the stats and GSC Toastmasters Club Highlights in the last 6 Months from July 2023 to December 2023. My analytical approach to the role of VPE has helped me in transforming my club’s learning environment.

Milestones and Memories: Eminent Toastmaster Club's 11-Year Journey of Transformation

I am thrilled to share that our beloved Eminent Toastmasters Club is celebrating its 11th Anniversary, and it wouldn’t have been possible without the unwavering support & dedication of every current and past club member!

This journey that started in 2012, is not just a testament to our longevity but also a reflection of the incredible journey we’ve undertaken together. Over the past 11 years, we have grown, thrived, and helped countless individuals find their voice, build their confidence, and beyond exceptional communicators and leaders.

I would like to extend my heartfelt gratitude to all the members, past and present, who have contributed their time, effort and enthusiasm to make our club

Charter members, current and past Excom, and Top achievers were recognized in this meeting. 

We celebrated the event with a cake cutting at both locations of our office where we have the club’s presence.
